Reserve our conference center in Roseburg

We believe that community building happens in shared spaces. That’s why we are happy to share the conference center at our Roseburg headquarters free of charge with eligible organizations serving rural communities.

We welcome rural-serving organizations

Eligible rural-serving nonprofits and public entities include:

  • Nonprofit organizations that are exempt under Section 501(c)(3) of the Internal Revenue Code and are classified as “not a private foundation” under Section 509(a)
  • Independent, sponsored projects of a nonprofit Section 501(c)(3) organization acting as a fiscal sponsor
  • Government and public agencies
  • Tribal organizations
  • Organizations whose missions align with supporting rural people, places and causes.

Details about the space

Location

The Ford Family Foundation’s conference center is located at its headquarters in Roseburg: 1600 NW Stewart Parkway, Roseburg, OR 97471

Capacity
The Conference Center is currently available to groups with up to 35 participants.
Parking
The Ford Family Foundation has limited visitor parking available on a first-come, first-served basis.
Available hours

Monday – Friday, 9:00 a.m. – 4:00 p.m.

Technology
The conference center offers an array of technology and audio-visual capabilities, including audio and video conferencing, video and digital projection screens, Blu-ray DVD players, computer, speakers, PC inputs and microphones. Wi-Fi access is available throughout the conference center. Please specify technology needs clearly in the reservation request form.
Food and beverage

Event hosts are responsible for arranging and paying for their own food. Outside catering is permitted and can be served in the buffet area near the conference center. The upstairs kitchen is not available to outside groups or hired caterers. Guests are responsible for all food setup and cleanup.

ADA accessibility
Normally, conference center guests are required to enter and exit the conference center from the exterior doors on the south side of the conference center. An elevator is available if needed. Please contact the receptionist at the front desk for assistance and directions.
Restrooms

There are two gendered, multi-stall restrooms available near the conference center. If a non-gendered, single-occupancy restroom is needed, please contact the receptionist.

Infant changing tables

Both restrooms near the conference center are equipped with infant changing tables.

Lactation room

If a private space is needed, a private area with a door is available on the north end of our building. Please contact the receptionist for assistance.

Policies for use

Accessibility

The Ford Family Foundation facilities are wheelchair accessible and ADA compliant.

Alcohol
Alcohol consumption is prohibited at The Ford Family Foundation.
Animal access

Service animals are permitted with prior notice and authorization.

Cancellations
Notice of cancellation must be given at least five business days prior to the event date.
Cell phones
Cell phones should be set to silent/vibrate upon entering the building. Use of cell phones is restricted to the outdoor patio and the area adjacent to the conference center to minimize disruption to meetings and working staff.
Condition of premises
The guest organization accepts the condition of the conference center “as is” and assumes all risk and responsibility for the actions of anyone attending the event on Foundation property.
Fees for event admission
Organizations using the conference center may not charge attendees for use of the space. Organizers may only charge a fee to cover such direct meeting costs as materials, speaker fees or catering.
General conditions of use

Organizations using the conference center are responsible for the proper use and care of any Foundation property. The host organization will be liable for the replacement cost of any Foundation property which is damaged, destroyed or lost. Organizations are responsible for cleaning up and restoring the conference center immediately after usage to the same condition provided to the organization prior to its use of the conference center. The Foundation reserves the right to charge the organization for any cleaning costs required to restore the conference center to the same condition provided to the organization prior to its use.

Indemnification

The organization using the conference center shall release, indemnify, defend and hold harmless The Ford Family Foundation officers, directors, employees and agents from and against all claims, suits, actions, damages, or causes of action for any personal injury, loss of life or damage to property sustained by reason or as a result of the use of Foundation property for which the agreement is entered into and from and against any orders, judgments, or decrees which may be entered thereto, and from and against all costs, attorney’s fees, expenses, and liabilities incurred in or by reason of the defense for any such claim, suit or action and the investigation thereof.

Insurance
The host organization agrees to have adequate insurance coverage to cover the activities at this location and for the purpose of the event.
Media
News media presence of any kind is not permitted on Foundation property without prior approval.
Security
The host organization is solely responsible for the security of its personal belongings and those of any attendees.
Smoking
The conference center and the Foundation campus is tobacco-free. Smoking, vaping, chewing tobacco or the consumption of any other non-combustible forms of tobacco is prohibited on Foundation property.

How to reserve

Please read our conference center policies, then submit the reservation request form. Foundation staff will contact you to discuss your event. Meetings may be scheduled up to three months in advance.
